What list Formats are supported?

Currently Match2Lists supports (CSV, tab delimited, pipe delimited and semi-colon delimited) text files. These formats are available in nearly all software applications including Microsoft Excel, Microsoft Access, and most CRM and Database applications.


How do I create a Text file in Microsoft Access?

Whilst in Microsoft Access right click on the table or query that you wish to use for your CSV file and select Export from the pop-up menu.

From the "Save In:" drop down menu select your chosen location

In the "File Name:" field, enter the name you wish to call your file.

From the "Save As Type:" drop down menu scroll down to select "Text Files (*.csv;*.txt;*.tab;*.asc)"

Click the Export button; this will open then Export Text Wizard.

Select "Delimited" and click next

Select "Tab" or "Comma" from the choose delimiter options

Check the "Include Field Names on First Row" option

Select (") from the Text Qualifier Option

Click Next

Enter the File Path and File Name for your Text File.

Note: Don't forget to use the file Extension that describes you text file, i.e. .csv (comma separated values) or .tab (tab delimited).

Click Finish to Create your Text file.


How do I create a Text file in Microsoft Excel?

The following instructions will show you how to create a comma separated (delimited) Values file known as a CSV file.

All recent versions of Microsoft Excel can be used to create CSV files

Note: CSV Files will not upload properly if you have missing columns names, or extraneous rows.

Tip: Handling Leading Zeros

If you are entering numbers and they have leading zero's you will need precede the number with an '. This tells excel to treat the number as text.

This is particularly relevant for numbers that have a defined number of characters or numbers that typically have leading zeros such as Telephone numbers.

Alternatively if the data is already populated you can use custom formatting to add the leading zeros for Values of fixed length such as Social Security numbers, DUNS numbers etc..

Custom Formatting

Right click on the required column and select Format Cells from the pop-up menu. In the number tab under Category, select custom. In the type Field, enter "000000000" and click OK. (Use the number of zeros that corresponds to the length of your field)

Saving your File

Once you file is populated and formatted as required, follow these steps.

  • From the File Menu, select "Save As..."
  • From the "Save In:" drop down menu select your chosen location
  • In the "File Name:" field, enter the name you wish to call your file.
  • From the "Save As Type:" drop down menu scroll down to select "CSV (comma-delimited) (*.csv)"
  • Click the Save button to save your CSV file.

It is common to get the following warning:

Click OK to save the current worksheet as a CSV file, and repeat the process for any other sheets that you wish to save as CSV files.


How big a list can I upload?

The maximum list size that is allowed for new users is 50,000 rows by 15 columns. But our solution scales to many millions of records if required; this service is available to enterprise customers.


Is there a limit to how big a field can be in a list?

Yes, fields in lists must be less than 255 characters.


How many lists can I have loaded in the system at one time?

The number of lists you can have active in your account at one time is 5 for PAYG accounts, 10 for monthly subscribers, and unlimited for custom enterprise accounts. You can remove old lists and add new ones as often as you want.


The system will not let me add any more lists, what should I do?

This will happen if you have loaded the maximum number of lists allowed within your account settings, you will need to clear out some of your existing lists and then you will be able to load new lists.


Do I need to prepare my list before uploading it?

No, our integrated intelligence will verify your list for you, automatically. You will be asked to describe each field so we can perform complex transformations that improve the match quality for you, without you needing to do anything. However, the better prepared your list is the easier it will be for you to work with.


Can I share my lists with colleagues, for them to use within their own projects?

Yes, corporate customers can have multiple users and they will be able to share both projects and lists.


I have lists larger than my account limit that I would like to use, what should I do?

Please contact our sales team to discuss your requirements, they will be very happy to help.


Why do I need to describe my List?

We ask you to describe your lists so that Match2Lists knows what data transformation rules and logic to apply to each field. For example, the transformation logic used for Company Name data is very different to that used for Telephone Number. The descriptions ensure that you get the best possible results.


What do I do if I have a data field or attribute that I want to match on, but there's no column description that's suitable?

We do add new data descriptions for enterprise customers on occasion where they have specific requirements, to discuss this option please contact our sales team.


How secure is my data that is uploaded?

All lists are uploaded using industry standard SSL encryption, once loaded they are maintained on our servers which are held in secure Datacenters where every reasonable effort is made to keep them secure including industry standard network firewall protection
